Tips for Planning a Reunion in Kansas City

Event and Meeting Planning in Kansas City

Planning a reunion of any size can be an exciting way to reconnect with old classmates, friends and family members you don’t see very often.  No matter what kind of reunion you are planning,  there are many things to consider in the planning and coordination of such.  Much of a reunion requires a great deal of up-front planning and will depends on how elaborate you want your event to be and what your budget is.

Once the budget is set, one of the first steps and most important parts of the process is selecting a date which lays the groundwork for the event. It is from here that you can start the meeting planning process and choose the event site, plan activities, choose food or catering options, and develop an itinerary.  You might also choose to create an event website, use social media such as Facebook (which is great for reaching people for free), or even register your event on a site like Eventbrite to reach as many people as possible.

In recent years, alumni and class reunions have considered to choose dates during the holidays, so those traveling in from out of town have the chance to not only go to the reunion, but visit with family and friends as well—saving the expense of traveling multiple times.  Another trend has been to send out a survey to all alumni to gage the best possible dates and go from there.  Surveymonkey.com is a free service and easy to use just for this purpose.

For class and alumni reunions, it is also important to form a committee to help in the planning process.  Classmate contact listings are essential for notifying alumni and getting the word out on your event and can usually be found by contacting the school alumni relations office.

Finally, you will need to select lodging for out-of-town guests that is near the event location.
